Crew Training Coordinator
We are seeking an experienced, dedicated Crew Training Coordinator to join our team. In this role, you will:
- Maintain and update the Training Matrix in our crewing system to ensure compliance with statutory, company, and fleet requirements; update the crew management system following changes to training matrices and coordinate required updates if needed.
- Monitor upcoming regulatory changes affecting training and certification requirements.
- Create, oversee and track the training budget for Baltic Sea region, aligning spending with various departments and required KPIs.
- Collect and coordinate KPI data and budgeted training figures from the various Stena Line regions and share them with the business stakeholders across company network.
- Ensure all crew training, certificates, and competencies are accurately recorded and up to date.
- Plan, schedule, and coordinate training courses, certificates, and revalidation activities to support crewing plans and vessel operations, arrange training dates, courses, and venues, communicating schedules to crew members and booking travel, accommodation and logistics.
- Compile training session feedback and share with stakeholders.
- Follow up on training KPI’s and prepare associated reports & initiate discussion in case of deviation.
- Support and initiate initiatives connected to the digitization and automation of training and certification.
- Act as a key contact for training suppliers, as well as identify potential new suppliers;
- Work closely with Crewing colleagues, OSS and D&E to ensure alignment across training, certification, and crewing plans;
- Support training related queries during audits;
- Support the Crewing Department with day-to-day crewing administration tasks and planning activities as required.

- Has a documented previous experience within crewing department, knowledge of crewing, training coordination, and certification management in a regulated environment. Experience in crewing planning and administration, training coordination or similar operational roles is required.
- Has effective communication skills and ability to work collaboratively within a crewing team, crew and business stakeholders as well as external suppliers .
- Possesses strong administrative and organizational skills with high attention to detail.
- Is able to plan, track, and maintain training matrices and crew compliance records.
- Has an experience working with KPIs and preparing budgets
- Has secondary education or equivalent practical experience; maritime industry exposure desirable.
- Is fluent in English, both written and spoken (at least B2 level).
- Enjoys working collaboratively in a matrix organization and is a true team player.
