This privacy notice applies when Stena Line processes your personal data in connection with your use of our career portal, profile registration, employee referral scheme, job application, or onboarding following successful recruitment.

3. What categories of your personal data do we process?
Depending on the stage of the recruitment process and the role applied for, Stena Line processes the following categories of personal data:
- Name
- Birth year
- Contact details provided by you (e.g. address, telephone and/or mobile number and email address)
- Gender (optional)
- Picture(s) (if included in your job application)
- Education and qualifications
- Experience history
- Employment history
- C.V.
- Personal letter
- Any other information required by your job role or local legislation (e.g. psychometric evaluation and background checks)
- Profile information provided by you
For successful candidates, Stena Line may also include collecting additional personal data required for onboarding and employment administration, such as:
- Photograph (e.g. for employee identification and access cards)
- Bank details (for salary payments)
- Tax information (e.g. HMRC data in the UK),
Where applicable, information required to comply with legal and regulatory obligations, such as right-to-work documentation.
For seafarer roles, this may also include:
- Certificates (e.g. medical and other mandatory maritime certificates)
- Copy of passport
4. From where do we obtain your personal data?
Stena Line processes personal data that you have provided to us yourself by uploading your information to the portal.
5. What happens if you do not provide us with your personal data?
For us to process your job application, it is necessary that you provide us with the personal data as specified above in section 3 (a) – 3 (c) and potential additional mandatory data depending on job application. If you do not provide us with the personal data, we will not be able to fulfil the application.
6. For what purposes do we process your personal data and what is the legal basis for such processing activities?
Stena Line processes your personal data for the purposes set forth below in connection with your use of our career portal. This includes when you register a profile, apply for a job and, where applicable, if you are offered employment. For each purpose Stena Line must have a legal basis. For example, a legal basis could be (i) your consent to the relevant processing activity, (ii) that the processing is necessary in order for the performance of a contract to which you are a party, (iii) that Stena Line or a third party has a legitimate interest to process the personal data which is not overridden by your interest of not having the personal data processed, or (iv) a legal obligation. Under each purpose listed below, the legal basis that Stena Line relies on will be identified.
If your consent is identified as the legal basis for a purpose listed below, we will not process your personal data for such purpose without having obtained your consent thereto. Furthermore, you have the right to withdraw your consent at any time by deleting your uploaded application, including all documents and deletion of your profile. Please note that the withdrawal of consent does not affect the lawfulness of the processing based on such consent before its withdrawal.
To manage the recruitment process
Stena Line uses your details as specified above in section 3, name, contact details, birth year, gender (if given), experience history, employment history, CV, education and personal letter and other data included in your job application to manage the recruitment process. This processing is based on your consent or where applicable, to comply with legal obligations such as documenting recruitment decisions or fulfilling applicable employment laws.
To communicate with you
Stena Line uses name and contact details to communicate with you when you apply for a job. This processing of your personal data is based on our legitimate interest.
To provide you with further information regarding job opportunities
Stena Line uses name and email address to provide you with further news with regards to job opportunities. This processing of your personal data is based on your consent.
For onboarding and pre-employment setup
If you are offered and accept employment with Stena Line, the personal data you provided during the recruitment process (such as your name, contact details and other relevant application information) may be processed to facilitate onboarding and employment administration.
This includes:
- Transferring your data to our onboarding platform,
- Creating your onboarding account,
- Creating and managing your digital identity and IT accounts, including granting access to internal systems, platforms and facilities,
- Using your personal email address and/or phone number to send onboarding information before your company email account is activated,
- Sending a temporary password or activation details (e.g. via SMS) to your private phone number where company contact details are not yet available,
- Initiating the creation of your company IT credentials.
This processing is necessary to take steps prior to entering into and to perform your employment contract with Stena Line.
If you do not start employment, your onboarding account and related data will be deleted.
If you become an employee, your personal data will be further processed in accordance with the employee privacy notice.
To pursue or defend against related claims
Stena Line uses name, contact details, birth year, gender (if given), experience history, employment history, CV, education and personal letter for the purposes of pursuing claims or defending against third party claims related to the above recruitment process. This processing is based on our legitimate interest.
To register and maintain your profile
Stena Line uses your name, contact details and other information you choose to include in your profile to create and manage your account on our career portal. This processing is based on your consent.
7. With whom do we share your personal data?
To fulfil the purposes listed above, Stena Line will share your personal data with the following recipients.

10. What rights do you have?
Below is a summary of the rights you have under European data protection legislation. The exercise of these rights is free of charge, and you may exercise the rights by sending an email or mail to the contacts listed at the end of this document.
Note that Stena Line will always assess a request to exercise a right to determine whether the request is valid. All rights listed below are not absolute and exceptions may apply.
In addition to the rights set forth below, you always have the right to lodge a complaint with a supervisory authority regarding Stena Line’s processing of your personal data.
- Right of access. You are, upon request, entitled to receive a copy of your personal data that Stena processes and to obtain supplementary information about Stena Line’s processing of your personal data.
- Right to rectification. You have the right to have your personal data corrected and/or completed if it is inaccurate and/or incomplete.
- Right to erasure. You have the right to request that Stena Line erases your personal data without undue delay in the following circumstances:
- the personal data is no longer necessary in relation to the purposes for which it was collected or otherwise processed;
- you withdraw your consent to a processing activity and there is no other legal basis for the processing;
- you make a valid objection to the processing of your personal data;
- the personal data has been unlawfully processed; or
- the personal data must be erased for compliance with a legal obligation.
- Right to restrict processing. You have the right to request restriction of the processing of your personal data in the following circumstances:
- the accuracy of the personal data is under examination;
- the processing is unlawful or is no longer needed for the purposes of the processing, but you oppose the erasure of personal data and request restriction instead;
- Stena Line no longer needs the personal data, but you need the personal data for the establishment, exercise or defence of legal claims; or
- you have objected to the processing of your personal data and such objection is under verification.
- Right to data portability. Under certain circumstances, you have the right to receive the personal data concerning you which you have provided to Stena Line, in order to transmit these to another service provider, if the processing of the personal data is based on your consent or the performance of a contract.
- General right to object. At any time, you have the general right to object to the processing of your personal data that is based on Stena Line’s legitimate interests. If you object, we must demonstrate that we have compelling legitimate grounds for such processing or that we need the personal data for the establishment, exercise or defence of legal claims.
- Right to object to direct marketing. At any time, you have a right to object to the processing of your personal data for direct marketing purposes. If you do this, Stena Line may no longer process your personal data for such purposes.
